When You Cannot Send an Order
Every seller eventually takes an order they cannot fill. The item went in a previous sale, the listing was left up by mistake, or you are simply too unwell to wear and post anything this week. It is an ordinary thing and it does not damage a shop. Handling it slowly does.
Tell them the same day
A buyer who is told on the day will almost always be fine about it, because nothing has been lost except an idea. A buyer who works it out on day six has spent that week expecting a parcel, and by then you are not cancelling an order, you are explaining a silence. The message is easier to write early and it gets harder every day you leave it.
Say which of the three it is
There is a real difference between the piece being gone, the timing being wrong, and you having changed your mind. People accept all three. What they do not accept is a vague apology that leaves them guessing which one happened, because the guess they land on is usually worse than the truth.
Offer the alternative, once
If you have something genuinely close to what they wanted, name it plainly and let them decide. If you do not, do not invent one. A substitute nobody asked for reads as an attempt to keep the money, and one refund handled cleanly is worth more to your name than a sale someone regrets.
Refund without being chased
Money that has been paid should go back before the buyer asks for it. Being chased for a refund is what turns a small disappointment into a story that gets repeated, and the repeating is what actually costs you the next order.
Then take the listing down
The last step is the one most often forgotten. If the piece is gone, the listing goes with it the same day. Nothing undoes the goodwill of a well handled cancellation faster than the same buyer seeing the item still for sale a week later.
